Submit an request for a class or workshop

If you would like to teach a class, please read these pages in this order:

This request is for holding a class in the Founders Gallery of the Elsinore Framing and Fine Arts Gallery at 444 Ferry Street SE in downtown Salem, Oregon, or via Zoom or to hold a class in another location. All requests are subject to approval. If you are an AiA Member, please log in before completing this form. If you are not an AiA member, there is no need to log into this site, just fill out the form.

AiA Class/Workshop Request

This form contains formation used to request a class or workshop. The information must be submitted and approved before the class can be set up on the website and for students to enroll in the class. Once the class is approved, a website will be created for the class and enrollment can begin.

Instructor Name*

Full name of the artist submitting the class/workshop request.

Email Address*

Enter your email address to receive confirmation of the class/workshop request.

Class/Workshop Title*

Enter the title of your class or workshop. This will be used in promotions and in setting up a web page for student enrollment.

Art Medium*

Enter the type of medium that the class deals with. This should be something like, Watercolor, Acrylic, Oil, Pastel, Digital, etc.

Class Location*

Please select the location that the class will be taught

Class Start Date*

Please specify the starting date of your class.

Number of Class Days

Please specify how many class days are needed for this class. There will be a separate $60 fee for each day of the class.

Class Schedule

Please specify the class schedule for multi-day classes. For Example, “Wednesday and Thursday” or “Every Saturday from 1/11/2025 to 11/25/2025” or the specific dates, such as “1/11/2025, 1/14/2025, concluding on 1/17/2025”. It should be short and concise. This will show up in the shopping page to tell the user when the class is occurring. Also specify if the start/times will vary for different days.

Start Time*

Please specify the starting time for the class/workshop. 10:00 AM is the earliest time normally allowed. The classes start and end will coincide with the business hours of Elsinore Framing and Fine Art Gallery. The business hours are Mon-Fri: 9am-6pm and Sat: 10am-5pm. (contact the representative for other time considerations). Actual class hours will be Mon-Fri 10am-5pm and Sat:11am – 4pm. This will be an hour before the class for Instructor set-up time and after the class for clean-up time.

End Time*

Please specify the ending time for the class/workshop. 5:00 PM is the latest time normally allowed.

Short Description

In a sentence, or no more than 2 sentences, give a short description of the class for potential students. This short description will be shown on the top of the shop page for your class. The longer Class/Workshop Description will be shown in the body of the details of the class.

Class/Workshop Description*

Enter a description that the student will see. It should describe what will be accomplished by taking the class – what will be learned and what is required of the student (what materials are supplied or what the student must bring to the class).

Student Fee*

Enter the total amount to collect from the student for the class. Note that there is a $60 fee for the rental of the space and will be deducted from the total amount, then an 80/20% fee split. The instructor gets 80%.

Minimum Number of Students

Specify the minimum number of students that must be enrolled in order to hold the class.

Terms and Conditions

CANCELLATION AND REFUND POLICY- Classes in The Founders Gallery (AIA Gallery) Class sizes will range between 5 to 20 students as space is available. A suggested minimum class of 5 students is recommended. Each student must provide pre-paid enrollment and registration at least 2 weeks prior to each session. A refund, less a processing fee equal to 20% of the class cost, will be given if a student withdraws from a class more than one week before the first class. NO REFUND will be given if the participant withdraws one week or less before the class begins. If AIA Gallery cancels a class, the Gallery will mail a full refund to the participant.

Responsibilities of AiA

AiA will assist the Instructor in setting the price of the class, upon request. Suggested pricing considerations include:

a. The base amount the Instructor needs to teach a class
b. Any fixed costs for the class ($60 per day for TFG location classes)
c. Minimum number of students
d. The previous price charged for the class, if offered

2. AiA will provide multiple marketing and promotional methods (such as online calendars, social media (such as Facebook and Instagram), printed flyers, and other printed materials) to coincide with the instructors own networking and marketing strategies to fill their class.
3. AiA provides information and forms on the AiA website to support class setup, including reserving slots for classes and detailed class request forms.
4. AiA will set up the Shop Page to include the Instructor’s class registration/purchase process on its website www.artistsinaction.org once the class request has been completed and approved. Students must register and pay for classes on the website using the Shop Page before taking the class.
5. The AiA Representative will provide the Instructor with regular updates on student signups, cancelations, etc.
6. AiA will send the student contact list to the Instructor.
7. AiA will provide class payment to the Instructor within thirty (30) days after the class ends (unless other arrangements have been made).
8. AiA reserves the right to cancel the class if there are not enough students signed up to meet the Instructor’s minimum requirements. The AiA Representative will contact the Instructor approximately five (5) days before the class starting date to confirm whether it can go forward or whether the minimum class size has not been met. Upon mutual agreement between the Instructor and AiA, a decision will be made to hold the class open for a few days while additional efforts are made to fill the class. This could include email blasts by AiA and the Instructor.

Responsibilities of the Instructor

The Instuctor agrees to:

1. Work with the AiA Representative to decide if class can go forward if the minimum class size has not been met. Upon mutual agreement between the Instructor and AiA, a decision will be made to hold the class open for a few days while additional efforts are made to fill the class.
2. Wait until after the agreed cut-off date before canceling a class due to a lack of student sign-ups, especially if some students have already paid. Contact the AiA representative if any other extenuating circumstances arise, and the class must be canceled.
3. Provide a description of the class including media, subject and maximum number of participants anticipated for the class.
4. Be responsible for setting up the class (not including AiA setup) and maintaining control of the participants, responsible for cleaning up and putting class supplies away.
5. Ensure the Class/Workshop dates have been entered on the Website before any other actions are taken to sign up for a class.
6. Work with AiA representative to establish a minimum and maximum number of students for the class. The Instructor will teach what they have listed in the class description on the dates and times advertised if the minimum number of students is met, and if it is possible, to go forward or whether the minimum class size has not been met. Upon mutual agreement between the Instructor and the AiA Representative, a decision will be made to hold the class open for a few days while additional efforts are made to fill it. This could include email blasts by AiA and the Instructor.
7. The Instructor will include any special supplies list offered and/or required in the class description and may handle all required Supply/Material payments collected directly from the students, if needed. The supply list sale directly by the Instructor will not be collected or processed by AiA and no percentages will be retained by AiA unless said fees are included in the Student Fee for the class. The same procedure applies if arrangements have been made for a model.
8. The Instructor will assist the gallery in marketing the class by sending promotional material to their various email lists. AiA uses multiple methods to market and fill the class. The Instructor will assist the gallery in marketing the class, and to their advantage, by using their own promotional materials and email lists. AiA online gallery members are encouraged to advertise their upcoming classes in their personal and AiA online gallery(s).

When using the TFG for classes, the Instuctor agrees to:

1. Schedule the classes be within the business hours of Elsinore Framing and Fine Art Gallery. The business hours are Mon-Fri: 9am-6pm and Sat: 10am-5pm. (contact the AiA Representative for other time considerations). Actual class hours will be within the hours of Mon-Fri 10am-5pm and Sat: 11am – 4pm. This allows an hour before the class for Instructor set-up time and after the class for clean-up time.
2. Schedule times with the AiA representative who will lock and unlock Elsinore Gallery doors to utilize TFG if the class is held when Elsinore is closed. No key will be provided to the Instructor. Contact the AIA Gallery representative(s) in charge of events and/or classes for a list of available supplies such as tables, chairs, floor protection, AV equipment and other fixtures, etc. upon signing contract(s).
3. Clean and properly store all dishes, utensils, tables and chairs, etc. belonging to Elsinore Gallery and/or AIA Gallery used in the class/event.
4. Utilize the bathroom at the back of the building (employee’s bathroom) for art cleanup. The main bathroom is not to be used for art clean-up. Renter(s) will be responsible for any damage that occurs if this rule is not followed.
5. Notify the designated AIA Gallery representative when the class begins and ends so they can turn off the lights, secure the premises and engage the security system.
6. Be responsible for ensuring the safety of the participants during classes. Instructor is responsible for contacting appropriate first responders in case of accidents or other emergencies. AIA, nor the Elsinore Gallery will be held responsible for loss of property or personal injury resulting from this classroom activity.
7. Ensure the classroom is clean and in the same condition as before the start of the class when the class is finished.
